Following what's being built

The stages each project goes through, from Posted to Retainer, and the list of what your intern is building for you, with what each status means and where to approve.

Your intern builds the work; you approve anything that goes out. To see where each project is without asking, every project shows its stages and a list of what is being built, in plain words. Your intern keeps the list up to date with each weekly check-in. You read it; you do not need to fill anything in.

Where to find it

  • "Projects": each project card shows its stages in one line, and "Being built:" with how many items are live, waiting for your approval or being built.
  • The project page: "Where it is" shows every stage with its date and a line on what it means. "What's being built" follows the brief.
  • "Being built" in the dashboard menu: every project's stages and items on one page.

The stages

Each stage is reached only when something real happened. Nothing is ticked by hand.

  • Posted: you told us what takes your time. The date you posted.
  • Scoped: we agreed the brief with you.
  • Matched: your intern is chosen. The date they were matched.
  • Building: the internship has started. The start date.
  • Live: something your intern built does real work for you. The first day your agent went live, or the first item your intern marked live.
  • Handed over: the internship is complete and what was built is yours. The completion date.
  • Retainer: you kept your intern on to look after it each month.

The stage you are at is filled in; the ones before it are ticked, the ones after are greyed. A project we could not take on shows "Declined" instead, and an internship that stopped before the planned finish shows "Ended early".

What's being built

Each item is one thing your intern is building for you, such as "Invoice chaser" or "Missed-call follow-up". Your intern lists them from the brief after the scoping call. Each shows its status and the date it last changed:

  • "Planned": agreed in the brief, not started yet.
  • "Being built": your intern is working on it now.
  • "Waiting for your approval": nothing goes out until you say yes. "Open Approvals" takes you to the requests waiting on the Agents page.
  • "Live": your agent is doing this now.
  • "Paused": stopped for now. Nothing runs.

An item taken off the list is not shown; a line says how many were.

Above the items:

  • "Latest check-in": the first lines of your intern's newest weekly check-in. "Read every check-in" goes to the full list.
  • "Next to go live": the one line your intern wrote with it about what goes live next.

The email when something goes live

When your intern marks an item "Live", or "Waiting for your approval", you get one email. It lists what changed in plain words (for example "Now live: Missed-call follow-up" and "Waiting for your approval: Invoice chaser", with "Open Approvals"), "Next to go live" if your intern wrote it, and a link to the project page.

  • One email per check-in or save, however many items changed in it.
  • Never twice for the same change: posting the check-in again the same week sends nothing new. An item that goes live, back to "Being built", and live again is a new change, so you hear about it again.
  • Items that move to "Planned", "Being built", "Paused" or "Dropped" do not send an email; you see them on the project page.

Questions about an item

Press "Ask about this" under an item to write to your intern by email, with the item's name as the subject.

When an item waits for you

An item marked "Waiting for your approval" usually has a request held on the Agents page. Approve or decline it there. See Approvals and standing permissions. If nothing is waiting there, ask your intern what they need from you.

  • Your dashboard and the project page

What the projects page and each project page show, how to edit a description before scoping, your business details, and the intern's agent card.

  • Weekly check-ins and the scoping call

The first call settles what gets built; after that, a written check-in from your intern each week that you read on the project page, and the work to approve on your dashboard.

  • Approvals and standing permissions

Review each held request and approve or decline it, approve all or some items of a batch request, and give a standing permission so one kind of request runs without asking, up to a daily number, until a date.
